Complete a Proclamation Request

  1. Office of the Mayor

Proclamations are ceremonial documents issued and signed by the Mayor and often serve to declare a special day or event, announce a government action, or communicate an important decree to the public.

Acknowledgment is normally given to reward the efforts and commitment of individuals and organizations that enhance our community and are significant to Stonecrest residents. All proclamations require suggested language. These documents are strictly honorary and are not legally binding.

All requests and proclamation language are subject to review by the Mayor’s Office, and we reserve the right to decline requests that fail to meet review guidelines.

The following are guidelines for proclamations:

    1. Requests should be submitted by a Stonecrest resident or organization at least 30 days in advance but no more than six months in advance of the event date or proclaimed date. All relevant information must be submitted with the request.
    2. If the request is being made on behalf of an organization, please make sure that the organization is compliant with City/State laws and rules for registration.
    3. Proclamation requests must be submitted by Stonecrest residents, and a Stonecrest address must be provided in order for a request to be accepted.
    4. Proposed language, including four to six “Whereas” clauses, is required.
    5. Mailed, faxed, hand-delivered, emailed, or phone requests will not be honored.
    6. Proclamations should not take sides in matters of political controversy; nor should they address individual convictions.
    7. If statistics are included in a proclamation request, the requester must include a link to a credible source that is backed up with evidence.
    8. Multiple requests by the same organization will not be honored within the same calendar year. Individuals requesting a proclamation must be able to show that they have been designated to make the request on behalf of a larger group.
    9. Proclamations are issued for one period of time only. For example, if “Stonecrest Day” is proclaimed on March 1, then “Stonecrest Week” and “Stonecrest Month” will not be proclaimed in the same calendar year.
    10. A proclamation may not be used as part of an advertisement or commercial promotion without the express consent of the Mayor’s Office.
    11. Proclamations are not annually renewed.
    12. Every request must gain official approval before being issued.
    13. The Mayor’s Office reserves the right to modify or deny any proclamation request.
    14. Due to the volume of requests received, we regret that the Mayor’s Office may not be able to accommodate every request.
